Document Security

Document Security Solutions | DBS

Document security has always been a concern for companies of any size. Now that MFPs and laser printers are able to store data, they've become an integral part of business networks and therefore a critical point of vulnerability. These devices retain document images and contact information, leaving sensitive information susceptible to security threats from anyone, anywhere.

The Association of Certified Fraud Examiners found that companies in the United States lose more than $600 billion a year due to fraud, with document fraud being a large part of this statistic. The 2009 Data Breach Investigation Report found that 74% of security breaches came from outside sources and 20% were traced to insiders. Business security means protecting your employees too. It is estimated that 50%-70% of all identity theft occurs in the workplace.

DBS delivers security solutions to prevent security breaches and possible litigation, as well as assists in keeping businesses compliant with government regulations such as HIPAA, FERPA, Sarbanes-Oxley and eDiscovery.

Document Security

DBS can prevent the wrong person from picking up the wrong print job with Private Print. FollowMe Printing holds print jobs in a central queue until the specified user logs in, ensuring the correct user is physically present before the document is printed. Secure PDF protects scanned documents by assigning users a password to restrict viewing, printing, editing and copying of the scanned information.

Device Security

Our Advanced Encryption provides real-time encryption and decryption of data written to the device's hard drive. Our Data Overwrite Kit ensures that all information is erased after every fax, copy, scan and print job. IPv6 ensures IP security with a larger IP address range, encryption technology, and IP Filtering to act as a firewall to protect your internal network from intruders.

Access Security

Our Network Authentication gives administrators control of devices. Department Codes provide document tracking and usage information. Usage Limitations let administrators set limits for copy and print jobs and track and control costs. Strong Passwords technology has administrators use a 10-digit password for added protection. SmartCard Authentication streamlines the user login process with a simple swipe of a card.

Disposal Security

Whether a device needs to be replaced or upgraded, it's important to be sure all of your important data is removed from the hard drive. Many brands can be scrubbed to remove any information that may still be stored on the drive.
